Our client is a highly regarded design practice seeking an experienced Studio Manager to join their team on a 12-month maternity leave contract. There is high potential for the contract to be extended for the right person.
Supporting both the operational and administrative functions of the business, you will be responsible for managing studio operations, coordinating monthly client invoicing and providing PA support to the Director. This is a hands-on role suited to someone who thrives in a collaborative environment and enjoys being at the centre of a busy studio.
Roles & Responsibilities
Studio Operations
- Oversee the day-to-day operations of the studio and ensure a professional and well-functioning workplace.
- Manage office facilities, suppliers, service providers and workplace resources.
- Liaise with IT support providers and coordinate technology-related requirements.
- Support onboarding activities, team events and general administrative functions.
- Maintain and support established studio systems, processes and procedures.
Client Billing & Financial Coordination
- Coordinate the monthly invoicing process across all project teams.
- Meet with Team Leaders to review project billing, discuss fee forecasts and ensure invoicing remains aligned with project performance.
- Facilitate the preparation of approximately 100 client invoices per month.
- Work closely with senior leadership to ensure billing deadlines and revenue targets are met.
- Maintain accurate billing records and follow up outstanding invoicing requirements.
Executive Support
- Provide dedicated PA support to the Director.
- Manage a busy and frequently changing diary, including meetings, appointments and travel arrangements.
- Coordinate schedules, priorities and administrative requirements.
- Assist with correspondence, meeting preparation and ad hoc support as required.
- Remain calm, flexible and solutions-focused in an environment where priorities can change quickly.
Skills & Experience
- 6+ years' experience in a Studio Manager, Office Manager or Practice Manager role
- Experience coordinating invoicing, project billing or financial administration processes.
- Proven executive or personal assistant support experience.
- Ability to manage multiple priorities and work effectively to deadlines.
- A proactive, hands-on approach with the confidence to take ownership of tasks.
- Experience within architecture, interior design, engineering or professional services environments.
- A highly capable operator who enjoys being the go-to person within the business.
- Collaborative and team-oriented, with a willingness to roll up your sleeves and help wherever needed.
- Adaptable and resilient, with the ability to remain composed under changing priorities.
- Comfortable supporting a busy and dynamic Director.
- Respectful of established systems and processes, with a willingness to learn and embrace them.
