Our client is a highly regarded interior design studio specialising in luxury residential, hospitality, and bespoke design projects.
An exciting opportunity for an experienced Office Manager to join the team in a full-time permanent capacity. This role combines operational management, financial administration, project support, and executive assistance.
The successful candidate will be highly organised, commercially minded, and confident managing multiple priorities within a fast-paced creative environment.
Roles & Responsibilities
- Oversee the day-to-day operations of the studio, ensuring administrative processes run efficiently.
- Manage office facilities, supplies, equipment, and key service providers.
- Coordinate internal meetings, team events, and studio communications.
- Ensure company records, policies, and documentation are accurately maintained.
- Support project administration and studio-wide operational planning.
- Prepare, coordinate, and issue fee proposals and client engagement documentation.
- Maintain proposal registers and reporting on project opportunities.
- Support project onboarding and contract administration activities.
- Manage timesheet processes and monitor staff hours across projects.
- Prepare invoicing information and coordinate billing requirements with the external accountant.
- Assist with financial reporting, project reconciliations, and administrative finance tasks.
- Ensure accurate record-keeping and timely processing of financial documentation.
- Manage complex calendars, appointments, meetings, and schedules.
- Coordinate travel arrangements, itineraries, and logistics.
- Act as a key point of contact on behalf of the Director when required.
- Handle confidential information with discretion and professionalism.
- Support strategic initiatives and special projects as directed.
Skills & Experience
- 5+ years proven experience in an Office Manager, Executive Assistant, Studio Manager or Operations Coordinator position.
- Strong organisational and time management skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience preparing fee proposals, client documentation, and supporting business development activities.
- Demonstrated experience managing workflows, project administration, resource planning, and team utilisation across multiple projects.
- Experience managing timesheets, project budgets, invoicing, accounts administration, and liaising with external accountants or finance providers.
- Advanced proficiency in Microsoft Office Suite and confidence working with project management, workflow, CRM, or practice management systems.
- Ability to engage professionally with clients, consultants, suppliers, and internal stakeholders.
- Ability to work autonomously, exercise sound judgement, maintain confidentiality, and proactively identify solutions and process improvements.
