We are currently supporting a leading Sydney-based interior designer for an experienced Studio Manager. This is an exciting opportunity to join a highly respected creative practice known for delivering innovative workplace and commercial projects across Australia.
Reporting directly to senior leadership, the Studio Manager will play a pivotal role in ensuring the smooth day-to-day operation of the studio, supporting the team, and driving operational and business support functions.
Roles & Responsibilities
Studio Operations & Culture
- Oversee the day-to-day running of the studio, ensuring efficient operations and a positive workplace environment.
- Coordinate internal team events, client functions, celebrations and social activities.
- Manage industry award submissions, memberships, sponsorships and professional engagement activities.
- Review and improve administrative processes, systems and procedures to enhance efficiency.
Facilities, Suppliers & IT Coordination
- Act as the primary contact for landlord and tenancy-related matters.
- Manage office maintenance, repairs, cleaning, access arrangements and building services.
- Coordinate office suppliers, equipment, stationery, kitchen supplies and general resources.
- Liaise with external IT providers to coordinate support requests, equipment setup and ongoing technology requirements.
Team Support & Administration
- Manage staff leave records and provide payroll-related information to the finance function.
- Coordinate onboarding and induction processes for new employees.
- Support recruitment administration and broader people and culture initiatives.
- Assist with expense management and general team support requirements.
- Coordinate performance review and salary review processes.
Meetings & Executive Support
- Provide executive support to senior leadership, including diary management, meeting coordination and travel arrangements.
- Schedule and coordinate operational and management meetings.
- Prepare agendas, meeting materials and action lists.
- Attend senior leadership meetings and take accurate minutes, tracking key actions and outcomes.
Finance & Business Support
- Assist with accounts payable and accounts receivable processes.
- Support payroll administration through accurate leave and employee records management.
- Follow up outstanding invoices and debtor activities in conjunction with the finance team.
- Coordinate insurance renewals and other business administration activities.
Systems & Practice Management
- Maintain client portals, databases and project information systems.
- Manage document control, filing systems, templates and administrative records.
- Support the evaluation and implementation of business systems and operational tools.
Skills & Experience
- Proven experience in a Studio Manager or Office Manager role, ideally within architecture or design environments.
- Strong executive support experience, including diary management, travel coordination and meeting administration for senior stakeholders.
- Demonstrated experience planning and delivering internal and external events.
- Exposure to onboarding, employee administration, leave management and people support functions.
- Experience using Xero for payroll support, accounts payable, accounts receivable and general financial administration.
- Strong systems and database management capability with excellent attention to detail.
- Experience working with external IT providers and coordinating technology-related requirements.
- Proven ability to identify process improvements and implement efficient administrative solutions.
- Exceptional written and verbal communication skills.
- Advanced proficiency across Microsoft Office Suite and Adobe Creative Suite.
- Experience managing insurance renewals, industry memberships, award submissions or similar business administration functions will be highly regarded.
