The Logistics Specialist serves as a central point of coordination between clients, galleries, sales teams, vendors, freight forwarders, customs brokers, accounting, warehouse teams, and manufacturing. This role is responsible for helping ensure that domestic and international shipments move smoothly from production through delivery and installation. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple projects at once in a fast-paced luxury environment. This person must be an excellent communicator who can work independently while collaborating closely with internal teams and external logistics partners. Key Responsibilities Coordinate domestic and international shipments for furniture, lighting, accessories, and related materials. Serve as a liaison between sales, clients, vendors, freight forwarders, customs brokers, warehouse teams, accounting, and production. Arrange and track shipments with white-glove carriers, freight forwarders, UPS, FedEx, DHL, and other transportation providers. Prepare, review, and manage logistics documentation, including commercial invoices, packing lists, customs paperwork, and related import/export documents. Monitor shipment timelines and proactively communicate updates, delays, and required next steps to the appropriate parties. Help coordinate deliveries, installations, transfers and repairs as needed. Obtain and compare freight quotes, coordinate approvals, and ensure shipments are booked accurately and efficiently. Review freight invoices and assist accounting with vendor billing, approvals, discrepancies, and related follow-up. Maintain organized records of shipments, quotes, invoices, tracking information, and vendor correspondence. Problem-solve logistics issues as they arise, including delays, damages, missing information, customs questions, or scheduling conflicts.
